Document Approval

Following successful pre-approval, the author marks the document as Ready for Approval. Any document in the Sandpit Documents folder marked as Ready for Approval is copied automatically to Prelive Documents. The named approver receives a notification email with a list of documents waiting to be approved and their current status. The approver will be given a link to the Library where they can review their list.

To approve a document:

  1. Click on the link in your notification email. Alternatively, log on to the Approvals feature of Process Library'(any site).
  2. Click on Manage Documents.
  3. If you have multiple roles associated with your account, ensure that you have Approver selected. Click on the Change button if this is not the case. Select the correct role and then click on the Update button.
  4. Locate the document in the tabulated list and then click on its name.
  5. Scroll down to Actions.
  6. Select either Rework Required or Approved.
  7. Add text to the Rework/Approval Comments box as necessary.
  8. Click on the Save button. The document's status is changed to Marked as Approved and it will no longer appear in your document Search Grid.

An email is sent back to the Author with your comments and a link to the document in the Sandpit Document folder. The Server also issues a What's Changed alert to relevant functional areas.
